5M ORD Scan
An enterprise governance engagement that works on your organisation's governance health from the inside.
Over twelve weeks, ten to fifteen of your own senior managers diagnose and repair the structural faults in your institution, facilitated by the 5M Leadership team, and present the results to your board.
The situation
You already know three or four things that are not right with how your institution is governed. That is the ordinary condition of any well-run organisation.
Persistent structural faults settle in because they sit awkwardly between functions, or because fixing one would expose another. Often the person who could fix the issue lacks the authority, the person with the authority lacks the detail, or the crisis of the day has pushed structural repair aside for years.
The usual response is to bring in outside consultants. A firm interviews your staff, produces a competent report and leaves. The report describes your institution back to you using data your own managers supplied, your leadership team owns none of the outcomes, and eighteen months later the same faults remain, now with an expensive report on top of them.
Why internal implementation works
When institutions are helped to install better practices inside their own operations, the effect shows up in the numbers. A well-known field study published in the Quarterly Journal of Economics examined structured management interventions in organisations that closed their internal operational gaps. It found that:
- product defects fell by about half;
- inventory held fell by roughly 16 per cent;
- overall productivity rose by about 11 per cent.
The study also found that organisations often fail to act alone because they are unaware of what better practice looks like, or because senior posts sit inside old, insulated structures.
Week one: reading the institution
The engagement opens with a two-part diagnostic baseline.
The 5M Stitch Scan
Forty governance indicators across the five domains are put to your executive team. The same forty indicators are run at the same time with an anonymous group of your mid-level staff, and the gap between the two sets of answers is highly revealing.
The Organisational Reality Distortion Scan
This measures the distance between the version of the organisation your formal governance systems describe and the one your people experience on the ground. Forty-eight statements are answered anonymously by people at every level, from the board to the front line, and each one is rated from Never to Consistently. The scan looks at three institutional spaces, and then at how far apart they have moved.
| The Front Door | Does the formal account you give of yourselves hold up under objective scrutiny? |
|---|---|
| The Inner Rooms | How healthy are the places where the actual work is done and the truth is known? |
| The Back Room | Do you have a working space where gaps are faced and repaired? |
What distortion costs an ordinary organisation
Distortion rarely announces itself. It shows up as ordinary business problems that leaders feel without being able to trace:
- Late decisions. Problems reach the executive team softened and late, so fixes cost more by the time they are approved.
- Repeat problems. The same issues return in review after review, absorbing overtime and senior time.
- Lost people. Staff stop raising concerns, and capable people disengage and leave.
- Unhappy customers. Front-line staff see service failures that never reach the people who can fix them.
- Surprises. Fines, audit findings and write-offs that someone inside saw coming.
- Misspent money. Budgets and leadership time move away from the agreed priorities.
The ORD Scan report sets your organisation against a healthy result, shows which of these costs you are most exposed to, and gives each one a Stitch In Time recommendation, an owner and a measure of progress.
See the scan for yourself
The scan scores the organisation out of 144 and places it in one of four bands, from low to severe distortion. It shows how each level of the organisation sees the same institution, and it drafts recommendations from Stitch In Time that our team reviews before the report reaches your board.
The twelve weeks
Weeks two to eleven run as fortnightly working sessions, one for each governance domain, with supervised implementation in between. Your managers repair live faults during working hours, using the authority you grant them for the length of the engagement.
| When | Focus | Milestone |
|---|---|---|
| Week one | The diagnostic baseline | The Stitch Scan and ORD Scan run with both groups, and the ten to fifteen internal managers are selected. |
| Weeks two and three | Core Load | True operating capacity mapped, and hidden overdrafts on critical staff removed. |
| Weeks four and five | Talent Flow | Single points of failure exposed, and verified succession maps built. |
| Weeks six and seven | Everyday Work | Corporate routines audited and priced, and wasteful work retired. |
| Weeks eight and nine | Signals and Risk | Ground-level warnings traced to find where information is diluted before it reaches executives. |
| Weeks ten and eleven | Power and Mandate | Contested authority resolved, and clear, written escalation thresholds set. |
| Week twelve | The executive defence | The internal cohort presents its diagnosis and completed remedies to your board or executive committee. |
What you have at the close
- A documented governance diagnosis. A full, evidence-backed assessment of your institution across all five domains.
- Improvements already in place. Because the work happens inside your live operations, a significant share of the remedies is implemented before the board presentation.
- A standing Back Room forum. A permanent internal forum that regularly examines the gap between your formal metrics and reality on the ground, with its schedule, authority and membership set out.
- A shared leadership language. Ten to fifteen senior managers who now approach governance, risk and capacity in the same disciplined way.
